Critical aspects of a project management

Critical aspects of a project management

What are the key aspects of Project Management?

In this work, extensive literature has been done to explain hard and soft issues in PM. For this purpose, some specific framework, for instance, seven-dimensional framework SDF [4] is used to explain dichotomization of hard and soft projects with waterfall and agile methodology.

Moreover, hard and soft project dichotomization can also be investigated through qualitative and quantitative methods [4]. The projects that have smooth interaction and communication with its client, encourage debates, discussion in problem-solving and seek success in the form of qualitative ways are categorized as soft, in contrast, projects that give priority in the procedure, maintain strict controlling and monitoring process and finally evaluate the rate of success in quantitative the format is categorized as hard [4].

Project success could be materializing in the form of qualitative and quantitative approaches [4]. Sometime dichotomy determines the success criteria of projects, like projects that consider environmental issues, community involvement and give priority in social, legal and political and safety issues are treated as soft [5] and the success rate of these projects is not in satisfactory levels. Conversely, if the scopes of the projects are well-defined [6] and allow less community and stakeholder involvement are treated as hard and have a better success rate than soft.

The dichotomization can also be described in an objectivist and subjectivist point of view [4]. More systematic projects that apply scientifically management techniques can easily be called objectivist hard projects while those deal with creating knowledge in society are treated as subjectivist soft [7]. The hard project contains positive and realistic ideas while the soft project contains intersubjective knowledge [8]. This paper explores the hard and soft dichotomy to facilitate project management thinking into the new dimension through critical literature review.

The first and foremost dimension of the framework is about the goals and objectives of a project. In a hard project, the goals and objectives are defined clearly with definite assumptions, so the projects do not require any scrutiny.

To get a more perfect idea regarding project nature soft or hard , it would be more fruitful if goal and objective tangibility are analysed distinctly rather than collectively [4]. Soft scopes are unclear by its nature and the opposite for hard projects [4]. Hard projects always strive to achieve the targeted goals where soft always search for new prospects [12].

Soft projects care and encourage a warm environment for example community perception, legal and political acceptability, social and environmental impacts, and safety [5]. Soft projects also practice participatory and consultative and collaborative management system, for example, consider stakeholders values and benefits and sound communication [13] and uncertainty [14].

Dichotomies in Other Disciplines Existence of dichotomization is controversial. Gustavsson and Hallin [3] thought that dichotomization is logical thinking and some researchers use this term for a clear understanding of subject matter.

So, we may consider and treat all these thinking in the field of soft and hard dichotomization. Hard and Soft Dichotomy in Project Management The terms hard and soft are used to determine the success factors of projects [21] and consider these terms when a project try to apply new methods and approaches in the project [22]. These terms also used in the arena of project management research as well [23].

For example, hard skills in projects management are arranging sound contracts among the parties, managing project finance, controlling project cost, maintaining the schedule, determining Key Performance Indicators, ensuring quality and desired deliverables and preparing a strong Risk Management Plan [9]. According to Cleland and King [9], hard issues emphasis on triple constraints time, cost, quality for project success by focusing project management plan, implementation and monitoring and controlling project activities.

Hard refers to skills and issues that help the project to work with the systematic process by breaking down project activities into smaller chunks while soft helps project to think integrated and holistic approach [3].

Its activities focus on interaction, collaboration and require intensive leadership for example servant leadership [14,16] that match with the soft issues. Agile allows flexibility in control mechanism in project activities with the help of testing, and frequent delivery in every stage of the project [26].

Though agile method is soft, adaptable and flexible but in the area of project management it create a strong relationship with waterfall approach. Sometime agile manifesto can be used as the foundation of waterfall approach, for example waterfall project could be built on agile or adapt by agile. According to Karlstorm and Runesor, [16] in real life project waterfall project incorporate some elements of soft methods and agile project adapt some elements of hard methods too.

More elaborately, it can be said when project managers follow a systematic approach for some activities, then he or she follows a hard approach and when managing workforce and human resource, then it is called a soft approach [3]. The project that follows prescribed methods and the process to govern and run its activities and scope is restricted is classified as hard [16].

In the modern era of PM, it is impossible to categorize any project exclusively hard or soft nature due to technological advancement and stakeholder expectation [4]. Project managers are bound to set a balance between hard and soft approach for smooth completion of any projects [4]. It might be said that hard and soft approaches are not contradictory of each other since both have dissimilar perspectives [3]. Engineering projects have more components that could be considered as hard, but a mentionable number of subtasks have the soft nature [3].

Agile projects have the maximum number of subtasks are soft in nature, but these projects have some hard-categorized subtask as well [3]. For this reason, no organization merely used hard and soft methods and they found a mixture of both like internal and external environment, its strategy, culture and structure [20].

So, it can be said that we cannot come up with a conclusion directly regarding hard and soft issues in PMR. But project management researchers and professionals have to have a clear idea of how to analyse and handle hard and soft factors in a project and also have the ability to use these factors to run the project smoothly to achieve project goals [4].

Individuals and organizations require preparation to face the worst situation that may need huge changes in the personal and organizational level. To cope up with the new normal environment projects need to realize the situation clearly, take preparation and then apply appropriate reaction [30,31,32]. The new normal situation demands project and organization to provide efficient and rapid responses to the upcoming changes for better adaptation.

What is Project Analysis and Why it is Important?

The starting point in discussing how projects should be properly managed is to first understand what a project is and, just as importantly, what it is not. People have been undertaking projects since the earliest days of organized human activity. The hunting parties of our prehistoric ancestors were projects, for example; they were temporary undertakings directed at the goal of obtaining meat for the community. Large complex projects have also been with us for a long time. The pyramids and the Great Wall of China were in their day of roughly the same dimensions as the Apollo project to send men to the moon.

Project Management: The Three Critical Aspects Of Project Context

Solving business problems and improving business performance requires proper project management skills. Successful projects rely on another subtle element that is often overlooked: Project Management Discipline. Project Management Discipline We emphasize the importance of project management knowledge for effective execution throughout our products. To draw a parallel, consider the difference between using correct grammar and being effective at interpersonal communications. Using correct grammar does not make someone an effective communicator; just as having project management knowledge does not necessarily make an organization effective at project management. Only when an organization can employ project management discipline in an effective way results are really achieved. We believe that effective project management discipline is a much more difficult topic to capture, discuss and to teach.

Hi Tim, the said things worked for me, thank you. But one more concern cropped up, the ownership change access, membership approval change access, delivery change management access, message approval change access, and mail tip access are also available to DL owners. How can i deny it? Did this get answered for Guru?

We have a similar setup but group owners can also modify the group name and other group properties. We just want them to modify the membership. How can I limit the owner to just modifying the membership and nothing else? I am not aware of any way to restrict the Distribution Group owner from only being able to edit the membership list. It most organizations I work with, they want the owner to be able to edit those additional properties if needed. I added a user that I want to manage distros to Recipient RBAC and is still does not allow them to mange existing groups only if I add them as an owner to the group.

Yes, Microsoft Project was the industry standard for many project managers who like its ability to work with SharePoint. It can be far more complicated for most teams. It is an investment in training and resources to fully leverage the program.

In the last few years many people have been searching for innovative ways to define, run and optimise their projects using alternative tools. But what are the latest products available and what are the different options to meet your project management requirements? Hydra is cloud-based. It gives you visibility and deep understanding of your projects in real-time, is quick to roll-out and offers fast results.

The software is extremely agile, enabling tasks to be grouped into "deliverables" that can be replicated as many times as required e. Hydra keeps project assets in one place for the rest of the team to see. Your project teams can foster greater project collaboration; access the correct and relevant information, documents, check-lists and guidance when needed, contribute to documents and share files online. The in-built messaging system helps teams collaborate anywhere, anytime.

The interactive timeline and real-time newsfeed available on Wrike go one step further than Microsoft Project and Wrike also offers document collaboration and discussions in tasks. Unlike Microsoft Project's standard product packages, Wrike is offered on five plans designed to suit the varying needs and specifications of businesses, organisations and independent professionals.

There are some mixed reviews regarding the free version. Pros: I like the feature set that Wrike has to offer. It is intuitive and comprehensive. I like the fact that Wrike has a Dashboard view although I only used the free version so I was not able to access it. I did see the Dashboard in use and it was very nice to see everything all at once.

Cons : I did not like that most of the key features were at a cost. I thought some more should be included in the free version so I could see them at work over time. Overall when looking into the software I was not impressed and thought some the marketing was effective but the overall product was lacking. Wrike is more suited to small to medium businesses so if you are freelance or partnership then Microsoft Project may work better. Smartsheet is a web-based project management tool and although not available for windows IT, is compatible for mobile.

Smartsheet is used across organisations to track and manage diverse types of work for teams large and small and includes tools for team task management, crowdsourcing and sales pipeline tracking — so this tool is great if you need to track your sales pipeline within projects. The task management and sales pipeline tracking tools are a clear winner however the stability of the software maybe letting it down as one reviewer comments. It's also very easy to identify the tasks assigned to a particular person, or tasks for a full project - it's easy to sort and filter to view only the information you need.

It's also got a fairly high learning curve. Trello is software for small-scale project management focusing on such areas as project planning, resource and task management; features lacking in Microsoft Project.

As a team organisation and collaboration tool Trello organises your projects into boards. In one glance, Trello tells you what's being worked on, who's working on what, and where something is in a process. All your projects, all your tasks, all of your team--organized, accounted for, and easily visible at a glance.

Trello can be deployed via Cloud, SaaS, Web and mobile so it can be used on the go. Trello is more than just a business tool. Trello takes the team and task organisation and collaboration aspect of project management and transfers this to other aspects of life like family and friends. With Trello you can share boards with co-workers, family and friends.

Hydra can be applied just as well to both large and small organizations to easily deliver standardised projects time and time again.

Our users think so too. The cultural changes required within the organisation to fully realise the benefits associated with this software are more challenging than initially anticipated and require top down leadership to ensure success.

If you would like to experience Hydra for yourself then why watch our free demo and if you like what you see please get in touch so that we can arrange a live demonstration, tailored to your organisations needs.

Hydra Hydra is cloud-based. Pros: Easy to implement with regards to the technical changes. The software has the potential to revolutionise the way you plan your Portfolios of work and how you undertake workforce planning. Increased visibility of projects, what will be delivered on time and to budget. The consultation service offered by Hydra Management Limited is excellent and has assisted us in the development of a number of different solutions.

Cons: The cultural changes required within the organisation to fully realise the benefits associated with this software are more challenging than initially anticipated and require top down leadership to ensure success. Clarizen Clarizen is another cloud-based, collaborative, work management software best suited for enterprise-level project managers, IT organisations and professional services teams which is a step up from Microsoft Project's solution for project and portfolio management.

What influenced steve jobs management style

The Steve Jobs Equation for Tough Leadership

In the large living room of a charming, beautiful beach house in Pebble Beach, California, a young and brash CEO engages in a lively debate with the 11 employees of his new startup. CEO and team go back and forth, pushing one another on essential details of a new product they're developing. What no one knew at the time was that conversations like this would one day lay the foundation for one of the most valuable companies in the world. The company developed computers and software targeting the higher education and business markets.

Podolny and Morten T. Hansen, dean and faculty member of Apple University, respectively, describe how quickly Jobs reorganized things.

What's remarkable is that Apple continues to operate under this general structure today, despite the fact the company is nearly 40 times as large in terms of revenue and has grown from around 8, employees to , Today, CEO Tim Cook like Jobs before him "occupies the only position on the organizational chart where the design, engineering, operations, marketing, and retail of any of Apple's main products meet," explain Podolny and Hansen.

Apple's sustained success has proved that its model can work for companies of various sizes. Today, many companies make the mistake of hiring or promoting people into management who have good organizational skills but who have little expertise in their area of focus. Jobs identified this as an early problem of Apple's. They knew how to manage, but they didn't know how to do anything.

If you're a great person, why do you want to work for somebody you can't learn anything from? According to Jobs, the best managers were the experts who never wanted to be a manager but decided they had to be, because they had the deepest expertise and could guide their teams in the best way. It's like joining a sports team where you get to learn from and play with the best.

Apple expects its leaders to know intricate details of its team's functions, as this allows them to make better decisions. But as Apple grew, it encountered challenges. Senior leaders couldn't remain immersed in the details of everything; there simply wasn't enough time in the day. To address this, Apple says it encourages leaders to "decide which activities demand their full attention"; leaders stay fully immersed in the details of those activities.

Apple leaders can then delegate other pursuits--which are still important, but of lesser priority--to other members of their team.

The benefits of doing this are twofold. First, leaders create a team of specialists who can learn from one another, and from whom they can quickly access details when needed. Second, they train team members to become experts in their own areas of focus, and how they can delegate should they happen to be promoted to a more senior position in the future. Of course, many companies have deep collective expertise--which is what makes the third requirement for Apple leaders so important: the willingness to engage in collaborative debate.

Jobs and his team did this 30 years ago, and Apple leaders continue to do it today. Experts debating experts, openly sharing their views and the consequences of potential decisions. And "because no function is responsible for a product or a service on its own," explain Podolny and Hansen, this type of "cross-functional collaboration is crucial. Remember, Apple's goal is to eliminate silos and create a single, high-performing team. To do that effectively requires Apple's leaders to work well together, which is why, in theory at least, Apple prefers to promote leaders who are proven collaborators.

To balance the abilities of being both partisan and open-minded, they explain, depends on those leaders' "deep understanding of and devotion to the company's values and common purpose," as well as a commitment to making decisions that are in harmony with those values and purpose, regardless of degree of difficulty.

That's like a startup--a startup that happens to have over a hundred thousand employees, and has become one of the most valuable companies in the world.

So, if you want your people to work together, instead of against each other, take a lesson from Steve Jobs and find leaders who are:. Because while Jobs may have died 10 years ago, his management philosophy helped Apple become the company it is today. Top Stories. Top Videos. Getty Images. For this model to work, though, Apple's leaders are expected to have three things:. Let's break each of these down, and see how the lessons can help you and your business.

Steven Paul Jobs February 24, — October 5, was an American entrepreneur , inventor , business magnate , media proprietor , and investor. He is widely recognized as a pioneer of the personal computer revolution of the s and s, along with his early business partner and fellow Apple co-founder Steve Wozniak. Jobs attended Reed College in before withdrawing that same year, and traveled through India in seeking enlightenment and studying Zen Buddhism. This led to the development of the unsuccessful Apple Lisa in , followed by the breakthrough Macintosh in , the first mass-produced computer with a GUI.

Apple Inc. Before doing so, they should dig into his management style. Jobs the leader was at once dynamic and controversial, and his success relied heavily on the genius of Jobs the innovator. Steve Jobs was certainly a willful and driven leader, and the products and services he directed his companies to develop and commercialize changed the way many of us live, as well as the course of a diverse set of industries, including computing, publishing, movies, music, and mobile telephony. He was intensely focused when committed, confident enough to take risky leaps, and charismatic enough to enlist legions of employees and customers in the relentless pursuit of his aspirations. He was also interpersonally immature well into his adult life: impatient, stubborn, and hypercritical, if not downright cruel at times. They also helped shape the unique and powerful cultures Jobs seeded — twice at Apple, as well as at NeXT and at Pixar. For instance, Jobs had a fickle commitment construct — he fell in and out of love with people much too easily, both personally and professionally.
