Different organizational structure types will affect various aspects of your project and will require you to adjust your management approach accordingly.

Module 2 of the PM PrepCast is all about the environment in which projects operate including organizational structure types. Organizational structure refers to the way a company or organization is setup. It is usually defined using a hierarchy chart that shows how groups or functions report within the organization. For Project Managers, a company's organizational structure type will affect how resources are allocated to the project and will be a factor in how much influence the Project Manager will have within the organization.

In a project-based organization most of the organization's resources are involved in project work. Project Managers have high levels of independence and authority for the project and control the project resources. The key challenge with a matrix organization is that every employee has two or more managers they report to, their Functional Manager and the Project Manager.

If they are working on multiple projects, they may have even more managers to report to. A weak matrix organizational structure maintains many of the features of the functional organizational structure. The role of the Project Manager is more that of a Project Coordinator.

Project Managers have considerable authority over the project in this organzational structure. Two of the key project aspects affected by organizational structure types are Project Manager Authority and Resource Availability. The PM Exam Simulator is an online exam simulator. This power is granted to individuals possibly by the position so that they can make full decisions. Reliability — Is the degree to which the project team member can be dependent on to ensure the success of the project with a sound and consistent effort.

Project management became popular in the early s, driven by businesses which realised that there were benefits from organising work into separate definable units and from coordinating different kind of skills across department and professions. What Is Configuration Management and Why Is It Important?

Fahad Usmani, PMP. May 31, Project environments are dynamic, and changes are constant in areas like process, planning, or scope. You can group these changes into two categories:.

There are two ways to compress the Project Schedule Time without reducing the scope of the project:. Crashing involves including resources for a particular project activity. This is done so that the project can be completed seamlessly and quickly, but this method tends to be costly. Fast-Tracking involves changing the string of activities so that some of the activities are performed simultaneously. It increases the risks involved as it ignores the discretionary dependencies and performs additional activities parallelly.

They refer to the potential advance or delay of activities within a project schedule and are essential when it comes to scheduling activities on the project timeline source. In this article, we are going to define both terms and provide an example of the practical use of leads and lags.

Before you read this piece, make sure that you understand the concept of the Precedence Diagram Method PDM and their logical relationships first. If you need a quick refresher, read this article. For project managers to use a lead, the logical relationship between those activities must have been a discretionary finish-to-start or start-to-start dependency as determined in the PDM.

Discretionary means that finish-to-start might be preferential, but it is not a hard logical dependency. In other words, there is no physical limitation or constraint that the predecessor needs to be finished before the successor activity can start. They are trying to shorten the time between two activities, right? They want to get to that next piece as fast as they can before they are eligible or technically allowed to run fully, right?

Thus, the total duration is reduced from nine days, down to seven days. In schedule network diagrams, lead is normally indicated with a negative number. It is negative because it is the time a project is saving compared to a finish-to-start scheduling. In our example, nine minus two gives us seven. A lag is defined as a required delay in the start of the successor activity.

Lag time is the number of hours, days, weeks or any other unit of time that has to pass while there are no resources associated with the successor activity during that time. There are numerous reasons why lags are to be scheduled, e. For instance, if you paint the walls in two days, the first coat predecessor activity needs to dry for a day or so.

And then it is going to take you two days to do the next coat successor activity. However, you cannot apply the second coat before the first coat has fully dried.

Logical relationships are identified and prioritized using the precedence diagramming method , for instance. Examples of the application of leads and lags are the schedule network analysis technique and the critical path method source , as well as optimization strategies. These may include, for instance, schedule compression techniques such as fast-tracking.

A typical finish-to-start relationship can be assumed for activities related to design, development, implementation, testing, and go-live of IT solutions.

In practice, however, projects tend to be constrained by tight timelines. If things go wrong part-way through the project, even compressing or crashing the schedule may be required. Note that the activities of this example are aligned with those of the example of the use of the precedence diagramming method , so you can easily compare the uses of both techniques. Due to these interdependencies, a project manager could assume that there is an inherent finish-to-start relationship among these activities.

If it were a sequence based on finish-to-start relationships, it would look as follows:. In this case, the combined duration of all 4 modules would be the sum of the activity durations, i. This is shown in the below Gantt chart. However, the descriptions give a hint that there are also leads and lags. These can be considered when planning the schedule:.

Note that scheduling activities may also affect the resource and cost estimation of your project. In this example, you would likely have to increase the headcount if you intend to make use of the lead time. A lead of a successor activity is represented as a negative number on a network diagram. Utilizing lead times when scheduling activities will accelerate the completion of a series of activities. A lag is a necessary delay in the start of the successor activity that needs to be scheduled accordingly.

It is shown with a positive number in a network diagram. Lags and leads leverage flexibility in dependencies between activities that go beyond finish-to-start relationships. They are therefore essential techniques for proper and efficient scheduling of activities, the optimization of a schedule and as an input to determine a critical path.

Equip business leaders to create their own essential applications. Managers handle multiple projects all the time. They juggle with people, tasks, and goals to ensure that every project is successful. But managing projects, by nature, is not an easy task. Since there are a lot of moving parts, it can easily become chaotic and disorganized. Collaboration among teams is inefficient and spread across email threads and chat software. As a result, deadlines are missed and clients become unsatisfied.

As a manager, you need to know what work needs to be done and when, which team member is working on what, and more. Doing it manually or using spreadsheets and over emails is definitely not an efficient way of doing it and brings its own set of challenges. As a result, the tasks and files lie scattered in different places.

Project management systems come with the necessary features you need to efficiently plan your projects, manage available resources, respond to problems, and keep all the project stakeholders involved. Regardless of the services, your business offers, having the best project management tool can make a significant impact. Project planning and project scheduling is extremely important aspect of project management irrespective of the applied methodology. With these project management solutions, the previous record of the team relevant to the current project can be accessed easily.

Managers often find it difficult to fairly assign tasks to members which may affect the efficiency of the whole team. With a project management program, managers can easily delegate project tasks to members and find who is currently available.

This is also an easier option for team members as in task management , the only thing they need to do is check the software and start working on their tasks according to their priorities. In most cases, these programs also send out automatic reminders before the deadlines to ensure smooth and efficient operations.

Safely accessing and sharing important documents is quite important. Professionals have been using shared drives but using the project management software is a more practical option.

Project management solutions offer storage where users can make changes, leave feedback, and annotate easily. These programs also keep a change log to ensure project transparency within the team.

Projects are dynamic in nature and sometimes, inducting new members into the project team becomes necessary. Project integration is, however, a challenging task to get new members up to speed within a short time.

As discussed before, a major benefit of using project management software is that they allow users to effectively manage every resource at hand. Over the course of any project, the chances of scope creep , the tendency of projects to go off the track, get quite high. A project management system can help managers prevent that as it allows them to keep track of everything with the help of a real-time project reporting tool and prevent the project cost from skyrocketing.

Another major advantage of the project management system is that it optimizes your decision-making process and improves productivity at work. As all of the important details can be found in a single place, you can always make informed decisions within the shortest time. Every project is different. So is every team. Choosing the right tool impacts how you manage your projects and how your team communicates.

The right tool will help you deliver projects on time and keep all your work organized. From simple to-do lists to complex velocity charts, there are tools in the market for every degree of need. Make an assessment of your requirements—the size of your projects, the number of people involved, your project management methodology and more. Teams that follow a proactive methodology like the waterfall method put a lot of emphasis on record-keeping, documentation, and a well-defined workflow.

Project management tools range from Ultra-lite to Structured depending on what you are looking for. There are a few basic features you should be looking for when choosing a project management software.

A Kanban board is an easy way to visualize your work and keep track of progress. You can clearly see what needs to done and where tasks are held up. Task management allows users to keep track of tasks and sub-tasks.

Moreover, look for software that provides a chat platform and task management among the project crew and version tracking system. You need to be notified immediately about approaching deadlines, when a task is complete, or when something needs your action. Smartphone alerts help you stay connected no matter where you are.

Graphs and visual metrics of the project overview give you a high-level picture of the different projects. You can instantly get the status of each project, see how many projects are complete, and the time and money spent on multiple projects. Creating reports help you identify where your team falls short and where it can be improved. You can also make better, data-driven decisions for calculating budgets and expenses and allocating resources.

Clarizen is a popular online project management software with an engaging social interface. Its interface is very simple to configure and personalize which it turn helps to make your employees more effective and efficient while using the software. The app provides the transparency needed to boost the productivity and profitability of your company. Project managers can use the software to complete all tasks on time and on budget.

Seamless collaboration, real-time sharing, unlimited data storage, and effective communication are the need of the hour for modern enterprises. But, with multiple projects in hand, project managers find it extremely difficult to cope with various tasks and accomplish the project on time.

Gantt charts for a project: productive advantage or disadvantage?

Smartsheet Contributor Diana Ramos. The critical path method CPM is a scheduling technique for large or complex projects that can help project managers stay on task and under budget. For project managers, the critical path is the longest sequence of dependent tasks in a project. By identifying the critical path, project managers can more easily prioritize tasks, build realistic schedules, keep projects within budget, and reduce or offset delays. Project managers can determine the total duration of the project by calculating the time between the start of the first task and the end of the last item on the critical path. Any tasks that are independent or that belong to a shorter chain of dependent tasks do not add to the total project duration and are therefore not on the critical path.

If you are currently working on a project, you might want to know about the Earned Value Management method to measure its performance level. It will allow you to compare the total of work made until a certain date with the total of work planned for that same date. Among project managers, Earned Value is one of the most demanding requirements for management tools. When they talk about it, they refer to Earned Value Management EVM , a series of parameters that advise on the operation of the project based on planning.

WBS is a project management plan that uses a tightly structured and segmented plan. This type of project management comes with many pros but also some cons to weigh before adopting it.

It is critical to understand the origin of the Gantt Chart before start talking about Gantt Charts for Project Management. The Gantt chart originated with Henry Gant, years after Karol Adamiecki had published a project management chart in It is during the period between to that saw the publication of a project management system known as the Gantt chart by Henry Gantt. A Gantt chart is, therefore, a bar chart or graphical representation of programmed project tasks over time. Simply put, the Gantt chart is an excellent way of communicating what it takes to deliver a project within the set budget and time. The Gantt chart tool makes it easier to keep stakeholders and project teams together from the onset. All important information needed to achieve a resounding project success is available in the Gantt Chart.

To say we are experiencing technical difficulties is an understatement.

Jones talks with risk management expert Robert Charette about what likely happened and what we can expect going forward. Charette : You can go back to the first book I wrote on software systems risk management back in Jones : Last week, Health and Human Services Secretary Kathleen Sebelius assured her inquisitors at a congressional hearing that her department has brought in experts that have a handle on the problems the site is facing.

If they discover something major, they may have to run the whole system test again. Charette : Yes, unfortunately. And what it means is that I have to do a personal risk assessment. Jones : Sounds like you're damned if you do and damned if you don't. How did we get to this point? Somebody had to know on 31 August that something was about to hit the fan. Why would they let Sebelius and President Obama wake up on 2 October with such a massive amount of egg on their faces?

Charette : No matter what they say about bad communication and bad coordination, this is all about plausible deniability. Once it was real apparent that this thing was going to be a turkey, nobody wanted to say a thing. In the military, we used to have this game of chicken.

If you were building a submarine or an aircraft, there would be one group producing the software and another group building the hardware. The game came down to who would have to admit failure first. Jones : Do you think one of these hearings will get down to the nitty gritty in terms of technical details related to what went wrong?

Charette : Probably not. Charette : HealthCare. So you have massive risk at each interface in terms of just trying to get the assumptions—stuff like how data is formatted, how data should be captured and passed back and forth—to align. It takes a tremendous amount of time just to understand how things operate, so that when you begin to design things, you can actually have information pass through all these interfaces seamlessly.

Was there any technical justification for that? Charette : That was a political decision that had nothing to do with technology. In fact, that made their technological solution a hell of a lot harder. I would speculate that the reason they did that was so that they could claim that they had all these people signing up. It was against standard acceptable practice on online shopping.

Why was that handled so much better? If you want to have an honest comparison, this is more like what the U. In a June report , pdf the U.

Think of the many tasks to which computers are being applied that in the not-so-distant past required human intuition. Computers routinely identify objects in images, transcribe speech, translate between languages, diagnose medical conditions, play complex games, and drive cars. The technique that has empowered these stunning developments is called deep learning, a term that refers to mathematical models known as artificial neural networks.

Deep learning is a subfield of machine learning, a branch of computer science based on fitting complex models to data. While machine learning has been around a long time, deep learning has taken on a life of its own lately. The reason for that has mostly to do with the increasing amounts of computing power that have become widely available—along with the burgeoning quantities of data that can be easily harvested and used to train neural networks.

This dynamic has spurred engineers to develop electronic hardware accelerators specifically targeted to deep learning, Google's Tensor Processing Unit TPU being a prime example. Here, I will describe a very different approach to this problem—using optical processors to carry out neural-network calculations with photons instead of electrons.

To understand how optics can serve here, you need to know a little bit about how computers currently carry out neural-network calculations. So bear with me as I outline what goes on under the hood. Almost invariably, artificial neurons are constructed using special software running on digital electronic computers of some sort.

While they are not the whole story, these linear-algebra calculations are the most computationally demanding part of deep learning, particularly as the size of the network grows. This is true for both training the process of determining what weights to apply to the inputs for each neuron and for inference when the neural network is providing the desired results.

What are these mysterious linear-algebra calculations? They aren't so complicated really. They involve operations on matrices , which are just rectangular arrays of numbers—spreadsheets if you will, minus the descriptive column headers you might find in a typical Excel file. This is great news because modern computer hardware has been very well optimized for matrix operations, which were the bread and butter of high-performance computing long before deep learning became popular. The relevant matrix calculations for deep learning boil down to a large number of multiply-and-accumulate operations, whereby pairs of numbers are multiplied together and their products are added up.

Two beams whose electric fields are proportional to the numbers to be multiplied, x and y , impinge on a beam splitter blue square. The beams leaving the beam splitter shine on photodetectors ovals , which provide electrical signals proportional to these electric fields squared. Inverting one photodetector signal and adding it to the other then results in a signal proportional to the product of the two inputs.

Decades ago, when digital computers were still relatively primitive, some engineers tackled difficult calculations using analog computers instead. As digital electronics improved, those analog computers fell by the wayside. But it may be time to pursue that strategy once again, in particular when the analog computations can be done optically.

It has long been known that optical fibers can support much higher data rates than electrical wires. That's why all long-haul communication lines went optical, starting in the late s. Since then, optical data links have replaced copper wires for shorter and shorter spans, all the way down to rack-to-rack communication in data centers.

The practical effect of the move may be relatively minor, as the challenge is widely viewed as a long shot that stands little chance of threatening the law, often called Obamacare. And though the federal government will apparently no longer defend a pillar of the law, a group of left-leaning states, including California, have stepped in to back it in court. The Justice Department legal position nevertheless signals a remarkable willingness by the Trump administration to abandon landmark consumer protections in the healthcare law that for the first time prohibit health insurers from turning away sick consumers. The president has backed new rules that would allow for an expansion of skimpier health plans that do not have to cover a full range of health benefits. These plans are overwhelmingly opposed by consumer and patient advocates and others , who have warned that they will drive up costs for sicker consumers who need more comprehensive health coverage.

Obamacare Could Help People Register to Vote—Unless the Administration Caves to the GOP

Since it was passed in , the Affordable Care Act, also known as Obamacare, has been decried by opponents as an attack on democracy itself. For those who study history, the cries of socialism are all too familiar. But if the past is any indication, Americans may grow to love healthcare reform as they have Social Security and Medicare benefits. Social Security and Medicare were enacted despite similar opposition; both entitlement programs have become immensely popular. But first came the rocky starts. Guess the program: Which quote was said about which program? A: "Isn't this socialism? Isn't this a teeny-weeny bit of socialism? Now that they're part of everyday life, Social Security and Medicare are hugely popular. Will Obamacare have the same fate?

Key Proposals to Strengthen the Affordable Care Act

The Government Accountability Office says cost overruns went hand-in-hand with the management failures that led to the disastrous launch of HealthCare. GAO's report, prepared for a House Energy and Commerce Committee hearing Thursday, details a long series of management, oversight, and contracting problems that plagued the entire process, from risky contracting practices in through the botched launch last October. A massive repair effort got the site stabilized by January, and despite the early failures, the administration ended up exceeding its enrollment target for this year. More than 8 million people chose plans through Obamacare, including the 36 states whose marketplaces run through HealthCare. All the same, GAO says, similar problems could arise again without structural changes in the way the government manages its contracts and spending.
